How Soon Should You Book a Moving Company?
One of the questions we hear most often is: “How far in advance should you book a moving company?” No matter how far you’re going, whether it’s across town or across the country, the answer is always the same: book as soon as possible. In this blog, we’ll examine the reasons why and explain how much lead time you need when planning a local, interstate, and international move.
Why Book Movers Early?
Moving companies are responsible for loading, shipping, and delivering your belongings. In some instances, they help you pack and set up your home as well. During an international move, they can even help you navigate customs. Booking early is the best way to:
- Secure Your Preferred Date and Time. The longer you wait, the more likely it is that another homeowner will take the timeslot that fits your schedule.
- Secure Your Preferred Moving Company. Reliable movers are in high demand, so you’ll need to act fast to book one with the skills and experience you need.
- Lock In Rates. Many companies set your price when you book your move. Contacting them early helps you avoid costly, last-minute fees.
In most cases, homeowners who wait too long not only end up paying more but are forced to adjust their plans based on their mover’s availability. Booking early is the best way to find a company that fits your needs, budget, and schedule.
Recommended Booking Timeframes
While it’s always best to book your move as far in advance as possible, some relocations require less notice than others. Here are our suggested timeframes for local, long-distance, and international relocations.
Local Moves
Whether you’re going from the city to the suburbs or downsizing to a condo a few blocks away, any move under 50 miles is considered a local move. Most of these relocations can be completed in a day, though large households might require an entire weekend. While the short distance makes these moves relatively straightforward, they still require a fair amount of planning and preparation, so you’ll want to start contacting movers at least two months ahead of time.
Long-Distance Moves
Seattle to Florida, Houston to El Paso ‒ any relocation over 50 miles is normally defined as long-distance, even if it's within the same state. Because shipping goods cross country is harder to plan and coordinate, movers need more time to organize logistics. Interstate moves also need authorization from the Department of Transportation (DOT) and the Federal Motor Carrier Safety Administration.
For these reasons, we tell customers to schedule long-distance moves at least three months in advance. This not only gives movers time to make their arrangements but gives you time to compare quotes and find a company that fits your needs.
International Moves
International moves often require multiple forms of transportation (trucks, ships, cargo planes, etc.) in order to ship goods between countries and across the ocean. They also entail lots of customs and immigration paperwork, as well as coordination between different teams in different countries.
Working with a moving company streamlines the process. Besides arranging shipping, they can also help you clear customs and guide you through visa requirements. If you’re moving temporarily, they can even provide storage solutions for items you can’t bring. These are complex logistical hurdles, which is why you should book an international move at least four months ahead of time.
Factors to Consider When Booking Movers
Every move is unique. While most require extensive setup and logistics, some take only a few weeks to plan and complete. The amount of time you need is largely determined by:
Season
Summer is often referred to as “peak moving season.” 60–80 percent of moves happen between May and September. The high demand makes it more challenging to lock in dates and times and secure an affordable rate. However, demand for moving services falls dramatically between November and March, making it easier to schedule movers and lock in an affordable rate without much lead time.
Move Size and Complexity
Large moves require more resources than small ones. If you’re planning a cross-country relocation, shipping specialty items (pianos, pool tables, pinball machines, etc.), or moving an eight-bedroom home, you’ll need extra time to prepare.
Weather
Moving to Montreal in the middle of winter or heading to Arizona in the middle of July can create extra challenges for movers. Ice and snow can trigger unexpected road closures, while extreme heat causes fatigue and dehydration, leading to a slowdown in productivity. While professional moving teams have the tools, resources, and knowledge to cope with harsh weather, they can’t do it on short notice.
Budget
If you’re working with a tight budget, you’ll want to start planning as early as possible to compare rates and shop around for the best quote. Giving yourself extra time lets you review the terms and conditions of each contract, so you won’t be surprised by hidden fees or extra charges after the job’s complete.
How to Find a Reliable Mover
Before finalizing your plans, research the moving companies in your area to make sure they’re trustworthy and professional. Signs you’re working with a reliable mover:
- Positive Reviews. Positive feedback from previous customers indicates the company has a good track record and delivers on its promises.
- Clear Communication. The company and its agents are available by phone or email and respond promptly to your questions and concerns.
- On-Site Inspections. Visiting your home enables movers to estimate the weight and volume of your belongings, so they can allocate sufficient resources for the job.
- Written Estimates. A clear, detailed estimate lists all the costs associated with your move, so you know exactly how much you can expect to pay.
- Local Address. A physical, verifiable address not only ensures your movers are established and accountable but is also essential for licensing and insurance.
- Branded Trucks. Companies that use unmarked vehicles are often criminals posing as reputable movers, to extort money from unsuspecting homeowners.
- DOT & Insurance Information. All interstate moving companies are required to register with the Department of Transportation, while local movers are required to register with a state agency (e.g. Public Utilities Commission, Bureau of Household Goods, etc.). Both should be able to produce their DOT or registration information when asked, along with their coverage options, so you know what type of financial protection is available to you.
